Privacy notice

ChaseMate is run by Jack Irving, a sole trader based in Doncaster, South Yorkshire (“I”, “me”). This notice explains what personal data ChaseMate handles, why, and what you can do about it. Questions or requests: jack@greensideprojects.com.
Two kinds of data
Your data as a ChaseMate user: your name, business name, trade, email address, password (stored hashed by our login provider, never visible to me), settings, the voice profile learned from your messages, and billing status. For this data I am the controller.
Your customers’ data: the names, email addresses, job descriptions and amounts you enter so ChaseMate can follow up for you, and the emails sent to them. You decide what goes in and who gets chased, so you are the controller of this data and I process it on your behalf, only to provide the service. You’re responsible for having a reason to contact your customers about their own quotes and invoices, which you normally will have, because they asked you for a price.
What I use it for
- Running your account and sending the follow-ups and reminders you set up (contract).
- Sending you service emails: sign-up confirmation, a note when follow-ups go out, billing messages (contract).
- Taking payment for your subscription (contract).
- Keeping the service secure, fixing problems and improving it (legitimate interests).
I don’t sell data, don’t use it for advertising, and never email your customers about anything other than your jobs.
Uploads
Screenshots of your messages, and quote or invoice documents you attach, are read once to pull out your writing style or the job details, then discarded. The files themselves aren’t stored. What’s kept is the short summary (for example your usual sign-off, or the line items on a quote).
Who else handles it
ChaseMate uses these services to work. Each only gets what it needs for its part:
- Supabase: database and logins.
- Vercel: hosts the website and app.
- Resend: sends the emails.
- Stripe: takes subscription payments. I never see your card details.
- Anthropic: the AI that writes emails in your voice and reads uploads. It receives the job details and voice profile needed to write each email. Anthropic does not use this data to train its models.
- Telegram: I get a private notification when someone signs up (name, business and email).
Some of these companies are based in, or use servers in, the USA. Where data leaves the UK it’s covered by the safeguards UK law requires, such as the UK International Data Transfer Addendum or the UK-US data bridge.
How long it’s kept
For as long as your account is open. If you close your account, email me and I’ll delete your account and your customers’ data within 30 days, apart from billing records, which the law requires me to keep for six years.
Your rights
You can ask for a copy of your data, ask me to correct or delete it, object to how it’s used, or ask for it in a portable format. Email jack@greensideprojects.com and I’ll reply within a month. If one of your customers contacts you about their data, forward it to me and I’ll help. If you’re not happy with how I’ve handled something, you can complain to the Information Commissioner’s Office at ico.org.uk.
